As a Veeva Basics Partner, QST provides structured implementation and enablement services designed to help emerging biotech and pharmaceutical organizations deploy a compliant Veeva Vault Quality System with confidence. Veeva Basics offers a pre-configured, pre-validated Vault environment that accelerates deployment while supporting inspection readiness from day one. QST’s role is to ensure this technology is implemented thoughtfully, aligned with your quality processes, and embedded into day-to-day operations.
Our approach follows a clear, phased implementation model that emphasizes readiness, controlled deployment, and long-term sustainability, ensuring clients are inspection-ready at go-live and beyond.
Pre-Day 1 Readiness: Assess, Plan and Prepare
Every successful Veeva Basics implementation begins with readiness. During the Pre-Day 1 phase, QST works closely with the client to assess existing quality systems, legacy data, and procedural maturity. This includes reviewing current SOPs and Work Instructions, identifying gaps relative to Veeva Basics workflows, and defining governance, roles, and decision-making structures.
QST also supports planning for data and document migration, validation acceptance, and overall project governance. This phase ensures expectations are aligned, responsibilities are clearly defined, and foundational decisions are made before system deployment begins.
SOP Alignment, IT Readiness and Validation Planning
A compliant Vault Quality System requires more than system access—it requires procedural alignment. QST supports clients in aligning or updating SOPs and Work Instructions that govern system use, validation maintenance, document control, training, and change control. These procedures are finalized and approved prior to deployment to support controlled system use. In parallel, QST coordinates IT and provisioning readiness, confirming system access, security requirements, and technical prerequisites. Validation planning is also finalized during this phase, ensuring acceptance criteria, documentation review processes, and QA oversight expectations are clearly defined before implementation activities begin.
Implementation Phase: Enable and Deploy
Once readiness activities are complete, QST supports the controlled deployment of the Veeva Basics environment. This phase focuses on confirming validation documentation readiness, enabling user access and roles, and preparing the organization for operational use.
QST coordinates closely with client Quality and project leads to ensure validation deliverables are approved and appropriately filed, user roles are assigned correctly, and training materials and enablement resources are available. The objective of this phase is to deliver a validated, operational system that is ready for production use.
Migration and Training: Ensuring Data Integrity and User Readiness
Data integrity and user readiness are critical to a successful go-live. QST supports client-led data and document migration activities by reviewing migration plans, supporting test and production loads, and assisting with reconciliation and quality checks under client QA oversight.
In parallel, QST supports role-based training and enablement, ensuring administrators, Quality users, and end users understand system workflows, responsibilities, and compliance expectations. Training completion and readiness are confirmed prior to go-live to support confident adoption.
Go-Live Transition: Controlled Release to Operations
Go-live is approached as a controlled quality event. QST supports final readiness reviews, confirms completion of SOP alignment, training, validation, and data verification activities, and collaborates with client QA to support go-live approval.
Following go-live, QST provides limited transition support to help stabilize early system use, address initial questions or issues, and capture lessons learned. This phase ensures a smooth transition from implementation to routine operations without disrupting compliance or productivity.
Post-Go-Live Support: Stabilize, Sustain and Scale
After go-live, QST supports a defined stabilization period focused on reinforcing user adoption, resolving early issues, and transitioning ownership to client Quality and Vault Administration teams. Lessons learned are captured to identify opportunities for continuous improvement and long-term optimization.
QST also provides guidance on maintaining validation documentation, managing Veeva Basics updates, and sustaining inspection readiness over time. Optional ongoing support or managed services may be provided to support future releases, upgrades, and system evolution as the organization grows.
